For one of our clients in Lausanne area, we are looking for an:


 EXECUTIVE ASSISTANT FR/ENG (100%)

ROLE

To strengthen the Chairman, you will be responsible of providing high-level support for the Corporate and Family Office activities, including:

  • Answering and filtering incoming telephone calls
  • Managing a complex agenda and arranging meetings with internal and external stakeholders
  • Reception of high-level visitors
  • Sorting all incoming correspondence and highlighting priorities
  • Typing high-quality written materials both in French and English
  • Managing contacts and mailing database
  • Maintaining efficient retrieving and filing system
  • Organization of logistics (meeting rooms, videoconference, catering, announcements, invitations) for meetings
  • Coordinating travels for the Chairman and key business stakeholders
  • Expense claims, processing invoices and liaising with accounts department for payments follow up

PROFILE

  • Solid administrative experience in a corporate environment reporting to C-level and a degree in administration or equivalent certification
  • Excellent relationship builder and team player; able to demonstrate a high level of tact, committed to discretion and diplomacy with all internal and external stakeholders
  • Resourceful, high attention to details, able to anticipate and solve problems autonomously
  • Able to work under high pressure and short deadlines in a fast-paced environment, comfortable multi-tasking a wide variety of activities
  • Advanced proficiency with Office365 tools (Word, Outlook, Excel, Teams), Concur and Adobe Acrobat
  • Excellent written and verbal communication skills both in French and English (C2 level)
